Summer 2004 ES-237 Announcment


DUE DATE - October 13, 2004


There are 4 IMPORTANT steps to completing your ES-237 federal report and year end processing.

1.)  Install the Summer 2004 software update/fix:

Martech discovered a major problem with the current release of the current version of the program very recently. This prompted them to create a fix & unfortunately the fix is very large (file size is large – 65mb). I've burned copies of this fix and that were mailed out 9/10/04 by US Mail. Please look for a manilla packing envelope addressed to your county. It will contain a CD-ROM disc. If your county office has a fast connection to the internet, you can download the file from this location:

(please keep in mind that this download may take a very long time – depending on your internet connection). If you do choose to download the file from the web, PLEASE USE INTERNET EXPLORER -not- Netscape. This site includes instructions for the download and installation.  MAKE SURE that you have version 2.4 of Youth Enrollment installed before running this update.Failure to do so - will result in errors with your data (you can confirm
your version number by: launching Youth Enrollment and clicking Help | About.

Once you have the update (either in disc form or downloaded from the web) – follow these steps:

 

  1. Double click the file name WYE02825b.exe
  2. When it asks where to send it leave the default of C:\Program Files\Youth Enrollment.

 

Installation will complete and you're updated!

Why is the update so important?

Because Martech has found major flaws with the current version of the program, this fix is critical. IT must be applied to every machine before processing the ES-237 report.


2.)     ES-237 Report: The actual procedure for the ES-237 has NOT changed.

3.)     Submit Data to State: This year we are requiring you to send all of your data files to the state office.The reason for this is so that we can have a backup of your county's full data set.  It also makes repairs and balancing much easier.  Here are the new steps for sending us all of your data.  Keep in mind, this will require more disk space.  In years past you may have sent 1-2 floppies, now you may need to send 3-4.  If you're comfortable copying these files via other methods: cd-burning, zip-disc, or emailing them as a zipped attachment, please feel free to do so.  The following instructions will walk you through copying your data files:

4.)     Year-End Processing: Once your report has been balance, completed and the data has been saved for sending to the state-office, you can proceed with year-end processing.  Instructions can be found at:
