SQL's used by counties for their Jr. Fair

SQL – This SQL is one that you can use to filter information that could be used in creating a list of members taking non-livestock FCS type of projects which will include the following information. 7/08

The data that is filtered includes: club ID, club name, members first and last name, complete address, home phone, both parents names, age, birth date, email, project id and selected non-livestock FCS type project descriptions. Includes data from the category: member.

 

SQL – This SQL is one that you can use to filter information that could be used in creating a list of members taking market livestock projects which will include the following information. 7/08

The data that is filtered includes: club ID, club name, members first and last name, complete address, home phone, both parents names, age, birth date, email, project id and selected market project descriptions. Includes data from the category: member.

 The data that is filtered includes: club ID, club name, members first and last name, complete address, home phone, both parents names, age, birth date, email, project id and project description. Includes data from the category: cloverbud.

 

SQL to filter data to give you the 4 -H child's name, project description, club, score, age and grade. Used by Meigs County - This data is used to print project cards for the 4-H booths.

 

SQL to filter data to give you the a list of members taking market hog projects that have competed QA in 2008. This SQL will give you the 4 -H member's name, complete address, club name, home phone and project id and email. Used by Fulton County

How to Merge 4H Members Names and Years in 4H to the Ohio 4H Member Achievement Certificate and or Ohio Volunteer Recognition Certificate. You use this one if you are printing the complete certificate.

 

How to Merge 4H members name and Years in 4H to a Ohio 4H member Achievement Certificate that is already printed. Use this one if you just need to add name and years in 4H to certificates that have already been printed.       (Word template to go with this process)

Create and View Query – Cell Phone list - This SQL will give you members, cloverbuds and advisors name, phone number, cell phone, parent's name and parent's spouses' first name - used by Ashtabula County

 

SQL - This SQL will give you name, address, phone number, email, club name, project ID, project description, birth date & gender for youth taking specific market livestock projects - used by Washington Co.

SQL - This SQL will give project information for youth categorized as Other. Used by Madison County .

SQL – This SQL will provide you with a list of Members for selected projects.

SQL - This SQL will provide you with a list that contains both the Member's Email & the Parent's Email

SQL to create a report that includes: Last Name, First Name, Age, Project ID, Project Description & Club Name for selected projects.

Report Creation for Member-Leader “Memo” field feature (This report will access the information that you have typed into the memo field on the member  - leader screen).


SQL statements created by Matt Davis in Athens Co. to help counties make changes to project numbers.

SQL - This SQL will give you Member Certification information for members listed as Livestock Quality Assurance in the member certification section – for youth ages 9-11 Year olds - used by Belmont Co.

How to change the Ethnic race from balanced to white

Create and View Query – This SQL will give you name, address, phone number, club ID, club name, project ID and project description for projects in 2007 that are complete – used by Geauga Co.

SQL – This SQL will give you 4H members, name, address, home phone, birth date, year in 4H (1-4 years), grade, parent name, school, grade, and projects.

SQL to generate a list of members taking poultry projects 151, 152, 153 & 166 -

This create and view query will provide you with the following information: first name, last name, phone number, club name, address, project id number, for new and returned members, for members taking (poultry) projects 151 – 153 and 166.

 

SQL to generate a "master enrollment sheet" for each club. Data collected includes: Club Id, Club Name, Member/Leader ID, Member/Leader Last Name, Member/Leader First Name, Address, City, State, Zip, Phone, Age, Birthdate, Years in 4-H, Parent Last, Parent First, School, Grade, Project ID & Project  Description - Instructions, click here

SQL - Data to create a buyer's guide for the fair.  QA is marked as an activity. SQL will give you name, address, parent's name and spouses name (Category includes member and others)

SQL - that could be used for Skill-A-thon Contest Registration and Score Sheet -  SQL to select 4-H'ers Name and Club to filter out a range of projects at one time whose members are age 15 to 18 (This example has beef projects) The select lines will give you the information that is filtered from this SQL or Create and View Query.

SQL – This formula will give you last name, First name, and address for all youth in a particular activity in a specific year , for youth with status new or returned.

SQL - 4-H'ers Name and Club to select members taking 139 Market Hog Project that are Age 15 to 18

SQL to export data from a secondary club. 6.6.07

This SQL will give you data that can be exported to an Excel file. One county has used this for their 4-H Camp to collect camper name, age, grade, address and phone number. The campers were entered as a Club (ID # 888) this number can be setup in the club /unit codes, and is identified as an overnight camp. The data can be exported as an Excel file so you can sort for tribes, cabins, etc.

This SQl will give you a list that includes member name, and both parents.

SQL to create a list of members by projects. This query will give you the following data: first name, last name, age, club name, parent home phone, email, project ID and description. We are also selecting out members that are active, new and returned.

Youth Group Enrollment form - What data goes where?

What to do with the project files during the roll over of data for 2007 - When you go to reset the project files for 2007 make sure that you do not to use the Utility to delete the Member Project file, but use the Empty Table option instead when you reset your files for 2007?  Go to Utility>>File Utilities, and in the list, highlight Youth2d.db. Then choose File>>Empty Table. This will prevent you from having a problem with your project files next year. This will do the same thing as Delete Member Projects. If you do NOT remove the projects from the member's record at re-enrollment time, you will not need to do this.


Quality Assurance - tracking members that attended the program and printing mailing labels for those that did not attend.

2008 Ohio State 4H Project Codes

Utilizing the Project Literature section of Blue Ribbon:

Counties that are utilizing the Project Literature section of Blue Ribbon are having a problem when they have project literature that is a requirement for more than one project.  Example:  Project literature number 117R entered as required for project 113.  However, 117R is also a requirement for projects 114, 115 and 119.  Blue Ribbon will not allow them to enter 117R again as a requirement for those additional projects. 

Solution:

Create 4 literature records for literature piece 117R. One record would be created for each project. The file will allow you to put in multiple records for the same literature code, as long as the project code is different.

Ohio 4-H Certificates

When using the certificates or membership cards you first create your data list using the member query in Youth Enrollment. The data list gets saved as an Excel file and then you use the mail merge in Word to complete the process.

SQL - Create ad view query is to create a list of females between the ages of 8-15 in projects 139 & 140.

SQL - Query for Member Name, 1 to 4 Project IDs, Project Description, Club ID, Member Age and Parent Name (first and last)

SQL - Query to pull out information from the member certification sections.  This SQL will retrieve all of the Member Cert tab data. (Including project/ activity code, certification code, certification data and certification number). The query will need to include Name, address, phone, Club name (all clubs not just primary) and all member certification data.

 

SQL - that counties could use to retrive specific information about committee members from the activity file. To be able to obtain information about general, activity, project, and resource advisors. To be able to export their name, address, phone number and club name, by activity. To be able to create committee lists with phone numbers from the activity file.

 

SQL - A list of all the junior fair board members and the school that they attend.  JL/JR is the activity code for junior fair board members.

 

SQL - that would contain enrollment type data that I can export into Excel.

 

SQL - to mark all advisors as direct advisors.

 

SQL - to delete Social Security numbers from the member records.

 

SQL to select out last name, first name, address, city, zip, email, phone #, county ID number, age, 12 grade, gender, year in 4-H, age, residence, ethnic, year enrolled in 4-H, project ID and all projects taken by those 12 graders.

SQL - To make sure that all of your members are assigned to a primary club or that the primary club matches the club that they are assigned to you can run the following SQL.

How to backup your data with Window XP's Zip Utility
24 August 2005

  1. Exit Blue Ribbon on all computers.
  2. Locate your Data folder. (If you do not know where it is, check the bottom of the BR screen for the Data Path.)
  3. RIGHT click on your Data folder.
  4. In the pop-up menu that appears, hover your mouse arrow over "Send To ". Then choose "Compressed (zipped) Folder."
  5. This will create a file called "Data.zip" in the same location as your Data folder. You will need to re-name and move this file in order to have a useful backup.
  6. Rename:
    • RIGHT click on Data.zip and choose "Rename".
    • Type in your county name and the date: Franklin06102001 or WayneJune05. If the ".zip" was visible on your computer when you changed the name, type it back in.
  7. Move to a new location:
    • RIGHT click again on the new file and choose "Cut".
    • Open the window for a different location. RIGHT click in a white (unused) space in that window, and choose "Paste".
    • (If you have another method to move files from one drive to another, use the one that you are familiar with.)
